Office Administrator
Reports To: Executive Director
Position Summary
As the primary clerical representative, the Office Administrator provides vital administrative support to ZMA staff, the museum, and its guests. The ideal candidate is an efficient, organized, detail-oriented professional with enjoys working in a busy environment with a wonderful staff.
Primary Responsibilities
Support the Executive Director performing routine filing, managing ZMA mail, maintaining ZMA calendars; guest service desk; answering incoming phone calls, and data tracking and reporting.
Assist the director to support the ZMA Board of Directors by organizing meetings, events, and retreats and ensuring timely meeting communications.
Maintain office supply areas, coordinating the maintenance of office equipment including printers, phones, computers, and typewriter etc., ordering supplies as needed.
Compile gift baskets and required paperwork for event promotions.
Manage select museum events, creating event set-up sheets and event workflows, and securing state liquor licenses; purchasing food and other event-related items; assisting with event-related food preparation, and drafting acknowledgement letters for event participants.
Manage the presence, organization, and efficiency of the museum’s main guest service desk and kiosk; Draft monthly volunteer information.
Welcome and assist ZMA guests, providing information to visitors about the ZMA.
Other duties as assigned.
Required Qualifications
Previous office administration experience required with the ability to conduct routine administrative responsibilities effectively, enthusiastically, and accurately; excellent written and oral communication skills with the ability to communicate well to a range of audiences.
Experience in business, hospitality, or related field. No art or museum experience is necessary.
Ability to assess and manage multiple competing priorities; have excellent organizational, time management, and creative problem-solving skills; ability to work well with a dynamic schedule.
Capacity to work collaboratively; a self-starter with the ability to work independently and follow through on all assignments with minimal direction, ensuring that responsibilities are completed on time, within budget, while maintaining the highest standards.
Commitment to providing excellent guest services, valuing diverse audiences.
Demonstrated Word, Outlook, and Excel skills required.
Willingness to work select weeknights and weekends throughout the calendar year.
Position Status
Full-time; Non-exempt; Anticipated full-time schedule: 40 hours each week, 8am–5pm Monday–Friday. Select Thursdays 10:30am–7:30pm.
Compensation commensurate with experience, hourly range $15–$20.
Position requires satisfactory completion of BCI background check.

A matching contribution equal to your salary reduction contribution up to a limit of 3% of your compensation for the year to a 403(b) Simple IRA. Eligibility begins three months after successfully completing the probationary period, or usually six months after candidate begins full-time employment at the ZMA.
